Case study · product origin story

A 40-hour manual inspection process became a standalone safety and compliance platform.

Audit Pro didn't start as a product. It started as a fix for one client's Mechanical Integrity inspection process — and the fix worked well enough to become its own platform, now going to market across seven industries.

"Can we automate the inspection process to reduce hours?"
The challenge

A regulatory inspection process running entirely on Excel, PowerPoint, and a phone camera.

A leading Environmental, Health, and Safety consulting firm wanted to grow its Mechanical Integrity inspection practice — the process of verifying that critical plant equipment is installed, operated, and maintained correctly. A standard inspection took 40 hours and tied up four full-time staff. Most of that time wasn't the inspection itself; it was manual pre-audit prep in Excel and manual post-audit report building in PowerPoint.

Before any conversation about automation, the real question was simpler: was the 40-hour process actually the right process, or just the one that had always been done that way?

The solution

Build the process into the software, not the software around the process.

We built an equipment, component, and recommendations library covering every scenario a Mechanical Integrity inspection could encounter, so technicians could generate a specific assessment template per client instead of rebuilding one from scratch each time. Each template synced to a mobile app that walked the on-site technician through the requirements, captured photo documentation on the spot, and prompted the correct recommendation based on International Institute of Ammonia Refrigeration (IIAR) regulatory codes.

The app also had to flex in the field — technicians needed to add new equipment directly from the device if something was missing from setup — and sync cleanly between mobile and web for reporting and historical tracking across future inspections.

The results

40 hours became 30. Then the product outgrew the client.

Inspection hours dropped from 40 to 30 by eliminating the manual pre- and post-inspection work, letting the firm run 33% more inspections a year with no increase in headcount. The client also walked away owning a proprietary digital asset — a real balance-sheet improvement, not just a productivity one.

What happened next is the part that matters most for how we think about technology: the tool built to fix one firm's inspection process was solid enough to become its own platform. That platform is Audit Pro — now built and heading to market, targeting safety and compliance programs across industrial refrigeration, oil and energy, sustainability, construction, transportation, cybersecurity, and human resources.

Where we're taking it
